Looking for a Travel Agency in Northern Virginia? 7 Questions Couples, Families, and Groups Ask Before Booking

Some trips are easy to book on your own. Others carry more weight: a 30th-anniversary river cruise, a retirement trip to Italy, a family reunion at sea with three generations aboard. When a trip matters that much, many people start looking for a travel agency in Northern Virginia they can talk to and trust.

Global Escape Travel is a veteran-owned travel advisory agency based in Woodbridge, Virginia. Since 2018, Donna and Dee Alexander and our team have helped more than 350 travelers explore 24+ countries. Our clients are couples, families, and group organizers throughout Northern Virginia, Washington, DC, and Southern Maryland.

Below are straight answers to the questions we hear most often. We hope they’re useful whether or not you ever book with us.

1. Why use a travel advisor instead of booking your vacation yourself?

A travel advisor narrows hundreds of options down to the few that fit how you like to travel, then coordinates the pieces so they work together. Booking on your own works well for a simple trip. A cruise with pre-cruise hotel nights, an escorted tour of Europe, or a vacation for a dozen people has many more moving parts.

Here’s what that looks like in practice:

  • Recommendations that fit you. We ask about your pace, budget, interests, and who’s traveling before suggesting a cruise line, resort, or route.
  • Supplier knowledge. Our team has completed training programs with brands including Royal Caribbean, Viking, Avalon Waterways, Disney Cruise Line, Sandals & Beaches, and the Globus family of brands, and we’ve sailed on multiple cruise lines ourselves.
  • Clear comparisons. Cabin locations, dining times, what’s included, and what costs extra, laid out side by side.
  • Coordination. Flights, transfers, hotels, and excursions timed to fit together.
  • Support when plans change. If a flight is cancelled or a connection slips, you have a person to call who already knows your itinerary.

The goal isn’t to make decisions for you. It’s to help you make them with better information.

2. What types of vacations can Global Escape Travel help you plan?

We provide full-service planning for custom travel worldwide, and most of our work falls into a few categories:

  • Ocean cruises, from the Caribbean to Alaska and the Mediterranean, including sailings from Baltimore that skip the flight entirely.
  • River cruises in Europe, where the right ship, season, and cabin make a real difference.
  • All-inclusive resorts in the Caribbean and Mexico, including adults-only properties for couples.
  • European vacations, from escorted tours with a guide and a set schedule to custom multi-city itineraries built around your pace.
  • Family and multigenerational trips, where grandparents, parents, and kids each need something different from the same vacation.
  • Milestone celebrations, including anniversaries, retirements, landmark birthdays, and graduations.
  • Group travel, from family reunions at sea to the hosted group trips we organize.

Couples often come to us for a river cruise or an anniversary in Italy. Families usually want a ship or resort with something for every age. Group organizers want one person keeping thirty details straight. As a veteran-owned agency, we also help veterans and military families understand travel benefits that may apply to them.

3. Does using a travel advisor cost more than booking online?

It depends on the trip and the services involved. We’d rather explain that honestly than promise a lower price.

At Global Escape Travel, we begin with a complimentary discovery consultation to learn about your travel interests and discuss how our team can assist. There’s no charge for that conversation. When you’re ready to move forward with professional trip-planning services, a planning fee applies. This allows us to dedicate the research, expertise, and personalized attention your travel plans deserve.

Your total cost will depend on the cruise line, resort, or tour operator, your dates, and what you choose to include. What the planning fee pays for is time and judgment: research, itinerary design, recommendations grounded in experience, and coordination of the arrangements we handle for you.

4. How far in advance should you plan a cruise, all-inclusive vacation, or European trip?

Usually earlier than people expect, especially for popular dates. These are approximate planning windows, not deadlines:

Trip type

Suggested planning window

Caribbean cruise

9–12 months

Alaska, Europe, and other international cruises

12–18 months

European river cruise

12–18 months or more

All-inclusive resort

6–12 months; earlier for holidays and school breaks

European vacation

9–12 months

Escorted tour or multi-country custom itinerary

12–18 months

Holiday sailings and milestone family trips

12–18 months or more

Why plan that early? The most popular cabin categories, connecting rooms, and holiday weeks sell first. Summer in Europe tightens hotel availability. And a trip spanning several countries, or several households, simply takes longer to put together. Shorter timelines can still work, especially if your dates are flexible, but you’ll have fewer choices. Our guides on when to book a cruise and how far ahead to plan a European vacation go into more detail.

5. Why choose a local travel advisor serving Northern Virginia, DC, and Southern Maryland?

Because planning goes better with someone you can reach. We’re based in Woodbridge and have worked with travelers across this region since 2018: Prince William, Stafford, and Fairfax counties, Arlington and Alexandria, the District, and Charles and Prince George’s counties in Maryland.

Being local doesn’t make a cruise fare cheaper. What it offers is a relationship. You can talk through options by phone, plan your next trip with someone who remembers your last one, and get advice that reflects where you actually live, such as whether Dulles, Reagan National, or BWI makes more sense, or whether a cruise from Baltimore beats flying to Florida.

Planning a Group Trip: Two Questions Organizers Ask

6. How far ahead should you plan a group vacation, and how many people do you need?

Start 12 to 18 months ahead when you can. Groups need blocks of cabins or rooms, often in the same category or on the same deck, and those blocks are easier to secure early. Early planning also gives each household time to budget, request leave, and commit.

What counts as a “group” depends on the supplier. Norwegian Cruise Line, for example, defines a standard group as at least eight cabins with 16 full-fare-paying adults. Other cruise lines, resorts, and tour operators set their own minimums, and the benefits of booking as a group vary too.

Groups also run on a schedule: typically a deposit to hold space, followed by payment deadlines, with cancellation terms set by the supplier. Agreeing early on a budget range, room types, and who pays for what saves awkward conversations later. Our travel FAQ explains how group deposits and deadlines usually work.

7. Can Global Escape Travel coordinate group reservations, payments, accommodations, and logistics?

Yes. The exact services depend on the trip, but for group travel we can help with:

  • Securing and managing the group’s cabin or room block
  • Helping each household choose its cabin or room
  • Tracking supplier deposit and payment deadlines
  • Coordinating flights from different cities, transfers, and pre- or post-cruise hotel nights where needed
  • Recommending and booking excursions
  • Keeping the organizer informed throughout planning
  • Keeping track of individual needs, from mobility to dietary requests

Here’s a real example. One client booked a family cruise for 18 people with us. In their published review, D. Wright wrote that Donna “was there throughout the entire planning phases even when last minute issues happened.” That’s what group coordination comes down to: staying with the organizer from the first phone call through the last-minute surprises. It was also, by that client’s count, their sixth or seventh trip booked with us.
